When an Email Feels Like an Emergency

Picture this: you're at your desk, sipping lukewarm coffee, when an email notification pings. Subject line: "We need to talk." Sent by your boss.


Suddenly, your heart is pounding, your palms are sweating, and you feel a strong urge to either confront the situation head-on or disappear under the desk. You aren't alone in this, and you aren't overreacting. We aren't being chased by a predator, and we aren't fighting for survival in an arena. But your brain doesn't always know that.


Welcome to the wild world of trauma responses!


At VMA Psych, we often see clients who feel like they're "losing it" or "overreacting" to daily stressors. The truth is, you aren't losing it. Your body is trying to protect you from the sheer volume of perceived threats in modern life, using software that was built for a very different environment.


This guide explores the biology behind fight, flight, freeze, and fawn, why your brain hijacks your behaviour, and how to retrain your nervous system so the email can just be an email.

The Brain Science: The CEO vs. the Smoke Detector

To understand why we react the way we do, it helps to look at the brain's hierarchy.


The prefrontal cortex, the CEO, is the logical, rational part of your brain. It handles planning, decision-making, and social judgment. It's slow, thoughtful, and articulate.


The amygdala, the smoke detector, is the primal, emotional centre. Its only job is survival. It doesn't care about your inbox. It cares about not getting hurt.


When the amygdala senses a threat, real or perceived, it pulls the fire alarm, bypassing the prefrontal cortex and flooding the body with cortisol and adrenaline.


Psychotherapists sometimes call this an amygdala hijack. When the alarm rings, your body enters a state of dysregulation and defaults to one of four survival modes.

The 4 Trauma Responses: Fight, Flight, Freeze, or Fawn

Most people know fight or flight, but trauma research, particularly in the study of complex PTSD, identifies four distinct responses. Most people have a dominant type shaped by childhood and past experience.


Fight: the aggressive response

The fight response activates when the brain's threat-detection system determines that survival depends on confronting or overpowering the perceived danger, driven by sympathetic nervous system activation and a surge of stress hormones.

  • What it looks like biologically: Jaw clenching, muscle tension, an increased heart rate, flushed skin, and urges toward confrontation

  • What it looks like in daily life: Argumentative or domineering behaviour, irritability, road rage, or rigid perfectionism used as a way to maintain control

  • Common misconception: Fight isn't limited to physical aggression. Any rapid shift toward needing to control or dominate a situation to feel safe reflects a fight-based strategy


Flight: the avoidance response

The flight response activates when the nervous system perceives that safety lies in escape, physical or psychological. Like fight, it's governed by the sympathetic nervous system, but the goal is distance rather than confrontation.

  • What it looks like biologically: Restlessness, shallow or rapid breathing, muscle tension in the legs, and racing thoughts

  • What it looks like in daily life: Avoiding difficult conversations, overworking to escape emotional discomfort, excessive planning or rumination, or physically leaving emotionally charged situations

  • Common misconception: Flight isn't always obvious. Prolonged doom-scrolling, compulsive distraction, or staying constantly busy can all function as forms of mental escape


Freeze: the shutdown response

When fight is ineffective, and flight is unavailable, the nervous system may enter a freeze response, a protective shutdown designed to conserve energy. This state is associated with what Polyvagal Theory describes as dorsal vagal activation, a useful clinical framework, though some of its specific physiological claims remain the subject of ongoing scientific debate rather than settled fact.

  • What it looks like biologically: A reduced heart rate, low energy, heavy or immobile sensations in the body, slowed thinking, and dissociation

  • What it looks like in daily life: Zoning out, chronic procrastination, feeling stuck, emotional numbness, or extended withdrawal

  • Common misconception: Freeze is often mistaken for laziness. In reality, the nervous system has applied an emergency brake, prioritizing survival over action


Fawn: the people-pleasing response

The fawn response is a relational survival strategy, often developing in childhood environments where safety depended on placating or anticipating the needs of an unpredictable or emotionally volatile caregiver.

  • What it looks like biologically: Heightened sensitivity to social cues, suppression of anger, and tension in the face or throat

  • What it looks like in daily life: Chronic people-pleasing, over-apologizing, difficulty setting boundaries, and patterns of codependency

  • Common misconception: Fawning can look like kindness, and empathy genuinely is involved. But fawning is submission as a survival strategy, driven by fear rather than a freely made choice

Why Can't I Just "Calm Down"?

If you've ever told someone having a panic attack to relax, you've probably seen firsthand that it doesn't work. That's because panic isn't a thinking problem. It's a nervous system response.


Research shows that during acute stress or trauma responses, activity in Broca's area, the brain region responsible for speech and language, tends to decrease. When this happens, logical reasoning and verbal processing become genuinely limited. You cannot fully talk yourself out of a trauma response because the brain systems required for rational thought are partially offline in that moment.


Instead of relying on words alone, a strong non-verbal sensory anchor can help interrupt the cycle: a grounding scent like peppermint or citrus, a textured object to hold, pressing your feet firmly into the floor, or the 5-4-3-2-1 technique. These work by engaging the body's orienting response rather than trying to reason someone out of a feeling. The reality is simple: you often can't think your way out of a feeling. You have to feel your way through it.

The Impact of Chronic Trauma Responses

When the nervous system stays stuck in survival mode, whether from chronic stress, developmental trauma, or PTSD, it places real strain on both body and mind. These responses are meant to be short-term. When they become long-term, the cost accumulates.

  • Physical impact: Chronic activation disrupts immune, digestive, and pain-regulation systems. Prolonged elevations in cortisol and adrenaline are associated with gastrointestinal issues, migraines, fatigue, and chronic pain, as the body diverts resources away from rest and repair.

  • Mental and emotional impact: Ongoing dysregulation is strongly linked to anxiety, depression, and burnout. Over time, the brain becomes more threat-sensitive, meaning smaller stressors can trigger disproportionately intense reactions. This reflects neuroplasticity working in survival mode, not a character flaw.

  • Relational impact: Trauma responses shape how we attach to and interpret others. Chronic fight may show up as reactivity; flight as emotional avoidance or overwork; freeze as withdrawal; and fawn as people-pleasing at the expense of self. Trust and emotional safety become harder to sustain.

Regulating the System: Where to Start

The goal of trauma-informed therapy isn't to eliminate survival responses. We need them in moments of real danger. The goal is regulation: helping the nervous system accurately distinguish between threat and safety, and respond with flexibility rather than reflex.


Bottom-up processing

Because higher-level reasoning often goes offline during stress, effective regulation typically starts with the body. This is a cornerstone of trauma-informed and somatic approaches.


For fight and flight (sympathetic activation): The body is mobilized and full of energy, so regulation requires completing that activation. Pushing against a wall or heavy surface, exercising, shaking out your limbs, or short bursts of movement can help discharge excess adrenaline and signal to the brain that the threat has passed.


For freeze (dorsal vagal shutdown): The nervous system needs gentle, non-overwhelming stimulation to re-enter a state of connection. Wrapping yourself in a weighted blanket, swaying or rocking gently, or humming or toning out loud (which stimulates the vagus nerve through the vocal cords) can all help. A simple orienting exercise, slowly looking around the room and naming a few objects, can also help re-engage present-moment awareness.


For fawn (appeasement response): Since safety was learned through self-abandonment, healing involves reclaiming boundaries. Practising small, low-stakes "no's," noticing bodily cues when you override your own needs, and working with a therapist to separate safety from compliance can all support this process.

Identify your triggers

Trauma responses feel automatic because they are, but they're also patterned. Tracking your triggers helps move the response from unconscious reaction to conscious awareness. Loud noises, conflict, perceived rejection, or unpredictability may activate different responses depending on the person. Recognizing that you are not the response, your nervous system is reacting to a learned cue, creates space for choice over time.


Self-compassion

One of the most overlooked parts of healing is self-compassion. Shame and self-criticism actually intensify threat responses by signalling additional danger internally.


Your nervous system is adapted for survival based on what it learned in the past. These responses aren't weaknesses. They're evidence of resilience. Healing begins by acknowledging that effort and gently introducing safer, more adaptive pathways. Regulation isn't about forcing calm. It's about building safety slowly and consistently, until your system no longer has to escalate to be heard.

Can someone have more than one dominant trauma response?

Yes. Many people have a primary response but shift into a secondary one depending on the situation, such as fighting in some contexts and freezing in others. This is common and not a contradiction.


Is the fawn response only relevant to childhood trauma?

Fawning most often develops in childhood relational environments, but it can also develop or intensify in adult relationships or workplaces where appeasement is felt necessary for safety.


How do I know if this is a trauma response versus a normal reaction to a stressful day?

Frequency and proportion are useful markers. A trauma response tends to feel disproportionate to the actual situation and recur in similar patterns across different contexts, rather than being a one-off reaction to something genuinely difficult.


Can these responses change over time?

Yes. With consistent nervous system regulation practices and, often, professional support, these patterns can shift. The nervous system remains adaptable throughout life, which is the basis for trauma-informed treatment approaches.
